Open Settings → Import & export. This pane is about invoice sources, how long invoices stay in active chase, and a full data download. It is not the 90-day trial retention policy.
Prerequisites
- Admin or Owner to save the age cutoff and to run Export.
- Standard users see a disabled Export: Only an Owner or Admin can export all business data.
Sources and import
- Open Settings → Import & export.
- Under Connected source, review any linked package and last successful sync, or the empty state if none are linked.
- Press Import invoices from a file or Open import for CSV or .xlsx. Limits: 5 MB and 2,000 rows. Older .xls workbooks are refused — save as .xlsx or CSV. Currency is not an import column; imported amounts use the workspace currency.
- For accounting software, press Connect accounting or Manage connections. Those buttons are live and open Connections. Production vendor OAuth is only available when this installation has the vendor app registered; otherwise Connect uses sample/sandbox data. PayBlah reads books; it does not write them.
The page also links API settings. PayBlah does not provide a native Zapier connection — you would use your own API key and signed webhooks.
Invoice age cutoff (not account retention)
- Find Stop chasing after.
- Enter a number of days.
- Press Save changes.
Past this age an invoice leaves active follow-up. You can return an older customer invoice to active follow-up from its page later, subject to active invoice capacity. This is not a delete-after-N-days control and is not the 90-day trial window.
Export everything
- On the same pane, find Export everything.
- Press Export.
The help line says “CSV files.” The download is a ZIP of CSV plus JSONL for the bound tenant (customers, invoices, contacts, messages, notes, payments, workflows, activity, and related tables). Provider credentials, sessions, and App Hub secrets are excluded. Rate limit: 3 complete downloads per hour per user. Each download writes an Activity receipt.

90-day trial retention (not on this pane)
There is no Settings field for “keep my account N days.” An expired trial stays read-only for up to 90 days after trial end, with warnings before scheduled deletion, then the tenant database is eligible for irreversible purge. Export while you still have access. Billing, audit, suppression, consent, and legal-hold evidence may be kept longer. Confirm the privacy wording with counsel for your territory.
Expected result
- Age cutoff saves and applies to active chase.
- Export starts a ZIP download and logs
account.data_exported. - Too many exports in one hour return a “try again later” refusal (HTTP 429).
Capacity note
Plan capacity is a count of concurrently active invoices in live chasing — not a money cap and not “total outstanding.”
What this will not do
- It will not silently purge history when you change plan.
- It will not accept
.xls. - It will not replace a formal data-deletion request if you close the account — use support / data request channels.
- Standard members cannot run the full export.
