Your customers
Will this damage my customer relationships?
It’s built not to — reminders go out in your name, in your words, and stop the instant a payment, reply or dispute arrives. The firmer steps wait for your approval, and any customer can be flagged never-chase. The nudge is there for the customers who simply forgot — and the ones who need you can always reach you in one click.
What does my customer actually receive?
An email — or a short text, if your plan includes SMS — from your business, in a tone you chose. On Growth and above it also carries a secure link to a payment page with your logo and details: no account to create, no app to install, and PayBlah stays out of sight apart from a small “powered by” line.
Can customers reply?
Yes. A reply pauses the chase so you can triage — and every message makes it easy to reach you. Disputes freeze the ladder until you look.
Is this debt collection?
No. PayBlah is reminder software. You remain the creditor. We do not buy debts, threaten legal action on your behalf, or present ourselves as a collection agency to your customers.
The chase
When do reminders actually send?
On the schedule you set — business hours in your customer’s time zone, weekdays only if you choose, with quiet hours built in. One send time a day, so you always know when the day’s reminders go out.
Can a firm reminder ever send without me seeing it?
Not with the settings it ships with. Firm and Final wording waits for a person to approve it — the approval setting is on from day one, and every message is fixed, pre-written wording, never generated on the fly. Whatever your settings, a payment, reply or dispute still stops the chase automatically. For tighter control still, approve-first mode routes every send — of any tone — past you.
Can I keep certain customers out of it?
Yes. Flag any customer never-chase, pause any invoice or any customer, set a minimum amount below which nothing sends, and there’s a kill switch that halts all sending at once. New accounts also get a first-run review, so you see exactly what would go out before anything does.
What’s a promise to pay?
A customer commits to a date — in the portal or logged by you after a call. Chasing pauses until then, they get a confirmation, and if the date slips the chase picks up at the next step rather than starting over. Promises are on Pro and above.
Do you send paper letters too?
On Growth and above, a sequence can escalate to a printed letter: three designs, your letterhead filled in automatically, and a generate-print-mark-sent queue. Letters never send themselves — you print and post them.
Getting set up
What does it connect to?
Xero, QuickBooks Online and Sage, with spreadsheet import for everything else. Invoices sync in and payments sync back, so a chase stops even when the customer pays outside PayBlah. There’s a REST API and signed webhooks on every plan.
How long does setup take?
Connecting your books takes about ten minutes; choosing a sequence and reading the templates, maybe an hour if you’re thorough. The first-run review then shows you exactly what would send before anything does — most of “setup” is just reading what’s already written.
I don’t use accounting software. Can I still use PayBlah?
Yes — upload a CSV or spreadsheet of your invoices. A column-mapping wizard learns your layout, duplicate detection keeps your customer list clean, and you can add one-off invoices by hand any time.
Can my team use it too?
Growth and above have unlimited seats under fair use, with two simple roles: Admins change settings, Standard users work the queue. Every action lands in the audit trail either way.
Where does PayBlah work?
PayBlah is built for businesses in the US, UK, Ireland and Australia. Multi-currency amounts are kept honestly separate — an invoice in euros never blurs into a total in dollars.
Plans & billing
Is there a success fee?
No, and there never will be. Collection agencies take a percentage; PayBlah is software, and software shouldn’t earn commission on money that was always yours. You pay a flat subscription and keep 100% of what comes in.
Is there a free trial?
Yes — the free trial runs on the Starter feature set, syncing your real book so you can preview every reminder before it exists anywhere but your screen.
Can PayBlah ever upgrade or charge me automatically?
No. Hitting a plan limit never triggers a charge — running chases finish, new ones queue, and upgrading is always an explicit choice you make. Top-ups for busy months are one-off purchases, never a recurring surprise.
Do the safety features cost extra?
Never. Auto-pause on payment and replies, dispute handling, approval on firm wording, the kill switch, opt-out handling and the audit trail are on every plan, including trials.
Will I be charged tax on top?
Prices are shown before tax. VAT, GST or sales tax is calculated at checkout based on your country, and your invoice from us shows it broken out properly — we chase invoices for a living, after all.
Data & security
Who can see my books?
Your data lives in its own database with its own database user — isolation is structural, not just a filter. Support access to your account is reason-gated, time-boxed and audited. The full picture is on the security overview.
How is my customers’ data handled?
As carefully as yours — consent and opt-outs are recorded permanently, portal links are high-entropy and rate-limited, and your customers’ data is processed under the data processing addendum. See the GDPR & Data Protection page for territory specifics.
Can I get my data out?
Yes — export your data any time, and deletion requests are honored. Reports export to CSV and PDF, and the API can pull anything the screens can show.
Does PayBlah hold my customers’ payments?
Never. Payment links go through an established payment provider, straight to you — PayBlah reads the result but never touches the money, and your customers’ card details are never seen by us or by you.
