Refunds & cancellation

How subscriptions, trials, cancellation, refunds, and failed payments work — in plain language.

Draft for product readiness — not legal advice. This page is written for customers and payment onboarding reviewers. Positions marked under Open decisions need owner or counsel sign-off before public launch. Last updated: 26 July 2026 (draft).

1. At a glance

  • PayBlah is a paid subscription for B2B invoice-reminder software — not a debt-collection agency.
  • You can cancel anytime from your account or by emailing support.
  • Cancellation stops future renewals. You keep access until the end of the period you already paid for (draft position — see Open decisions).
  • No success fee on money your customers pay you. Subscription only.
  • Card payments are processed by Stripe. PayBlah does not store full card numbers.

2. Currency and tax

Plan prices on our Pricing page are shown in US dollars (USD) unless a checkout screen states another currency.

Prices exclude tax (for example VAT, GST, or sales tax) unless we expressly say otherwise. Applicable tax is calculated at checkout based on your billing details and location.

EU / UK B2B reverse charge: where reverse charge rules apply to your subscription (for example a valid VAT number and qualifying B2B supply), checkout or your invoice will reflect that treatment. You remain responsible for any self-assessment obligations under your local rules.

Exact tax mapping by territory is an operational setup item — see Open decision RC-TAX.

3. Free trial

We may offer a free trial so you can connect real books and preview what would send before anything is sent without your control. Trials run on the Starter feature set unless a specific promotion says otherwise.

When the trial ends: continued use requires a paid plan (or another arrangement we offer). If you do not start a paid plan, access to paid features stops. We do not silently convert you to a paid plan without a payment method and a clear charge step at checkout.

Exact trial length in days is set in product and at signup — see Open decision RC-TRIAL if a fixed public number must be locked for launch copy.

4. Billing cycle and automatic renewal

Paid plans are billed on a recurring subscription (monthly by default, as shown on Pricing). Unless your checkout or invoice states otherwise:

  • Your subscription renews automatically for the same period until you cancel;
  • You authorize PayBlah and our payment provider to charge the payment method on file for each period;
  • Plan limits (for example active chases or SMS) do not auto-upgrade you to a higher tier without your choice.

Annual or multi-month options, if offered later, will be stated at checkout.

5. Card payments — Stripe, SCA, and security

Subscription payments and related card charges are processed by Stripe, a third-party payment processor.

  • PayBlah does not store full payment card numbers (PAN) or CVC. Card data is handled by Stripe under their terms and security controls.
  • We may store Stripe customer/payment-method references and billing metadata needed to run your subscription (for example last four digits for display, expiry, and charge status).
  • Strong Customer Authentication (SCA) / 3-D Secure: for cards issued in the EEA, UK, and other SCA-regulated regions, Stripe may challenge the cardholder (for example 3-D Secure) before a charge is completed. You may need to complete that challenge to start or renew a plan.

Payment links shown to your invoice contacts (on eligible plans) are also designed to settle through an established payment provider to you as the merchant of record for those receivables. PayBlah does not take custody of those funds. See also Terms of Service and Sub-Processors.

6. How to cancel

6.1 How

Cancel in either of these ways:

  • In your PayBlah account — use billing / subscription settings when available; or
  • By email — write to support@payblah.com from the account owner email, and ask to cancel the subscription.

6.2 When cancellation takes effect

Draft position (pending counsel sign-off — RC-CANCEL): Cancellation stops automatic renewal. You retain access to paid features until the end of the current paid billing period already charged. After that period ends, the account moves to a cancelled / limited state and paid features stop.

We will not charge a new renewal period after a cancellation request is received in time for that cycle (subject to processing cut-offs with the payment provider).

7. Refunds

Draft position (pending counsel sign-off — RC-REFUND):

  • Subscription fees for a period that has already started are generally non-refundable, including if you cancel mid-period and stop using the product early.
  • We do not refund amounts your invoice contacts paid you — PayBlah never took that money.
  • Where mandatory law requires a refund or cooling-off right, that law prevails over this draft.
  • If we terminate the Service for convenience (not for your breach), we may provide a pro-rata credit or refund for unused prepaid time — method and timing confirmed with counsel.
  • Genuine billing errors (duplicate charge, wrong plan) — contact support@payblah.com; we will correct mistakes.

This section replaces the previous placeholder inside Terms. The Terms of Service point here for refund detail.

8. Failed payments and dunning

If a renewal charge fails (expired card, insufficient funds, SCA not completed, bank decline):

  1. We and/or Stripe may retry the charge on a reasonable schedule.
  2. We may notify the account owner by email to update the payment method.
  3. Draft position (RC-DUNNING): if payment remains unsuccessful after retries and notice, we may suspend access to paid features until payment succeeds, or cancel the subscription after further notice. Exact retry counts and grace days are operational settings and should be confirmed before launch (Open decision RC-DUNNING).

Safety features and data export pathways remain subject to product design and legal retention rules — suspension for non-payment is not an excuse to ignore lawful deletion requests once you close the account.

9. What happens to your data after cancellation

After cancellation and the end of paid access:

  • You should export Customer Content using product tools while you still have access.
  • We delete or return Customer Content as described in the Privacy Policy and DPA, subject to legal retention (for example tax invoices) and backup cycling.
  • Exact post-termination retention windows are listed under Open decisions on those pages (owner/counsel) — we do not invent day-counts here.

10. Invoices and receipts

For successful subscription charges, you can obtain a receipt or invoice from:

  • Your PayBlah billing area (when available); and/or
  • Email receipts sent by Stripe or PayBlah to the billing contact; and/or
  • Requesting a copy from support@payblah.com.

Invoices show the charging entity name, amount, tax where applicable, and period covered once billing is live.

11. Contact

  • Billing & cancellation: support@payblah.com
  • General: hello@payblah.com
  • Privacy: see Privacy policy — contact
  • Form: Contact page

12. Open decisions for owner / counsel
