Manage reminder email sending

Chase email leaves PayBlah only through a mailbox your business owns — Google Workspace, Microsoft 365, or a verified SMTP mailbox. There is no PayBlah shared-domain sender. Until that mailbox is connected and verified, scheduled reminders stay held.

Plan and permission: Connecting, testing, or disconnecting a mailbox is Admin only. The mailbox itself is not sold as a plan upgrade. Google Workspace and Microsoft 365 buttons appear only when this PayBlah installation has those OAuth apps configured; otherwise the card says Not configured.

Reminder emails send as your business, from a mailbox you own. PayBlah never substitutes a platform sender. If no customer-owned mailbox is ready, the send path holds the message (mailer:customer_provider_required) instead of using a shared PayBlah domain.

Prerequisites

  • Sign in as Admin (or Owner).
  • Have a business mailbox you control: Google Workspace, Microsoft 365, or SMTP with an app password.
  • Do not enter a normal Google or Microsoft login password into SMTP. Use an app password if your administrator requires SMTP.

1. Set the from name

  1. Open Settings → Email sending.
  2. Under From name, type the name contacts should see.
  3. Leave it blank to use your Business name.
  4. Press Save changes on the unsaved-changes bar.

This pane only stores the from-name. Connection health and testing do not live here.

2. Open the mailbox connection cards

  1. Still on Settings → Email sending, find Sending method.
  2. Choose Google Workspace, Microsoft 365, or SMTP.
  3. Press Manage in Connections. That link opens Connections, not the mailbox page.
  4. On the Email card, press Manage mailbox →. The page title is Mailbox & Chase Email (/settings/mailbox).

The Email sending pane does not connect a mailbox by itself. Until a mailbox is ready, Mailbox & Chase Email says Reminder email is held until a mailbox is ready.

3. Connect Google Workspace or Microsoft 365

  1. On Mailbox & Chase Email, find Google Workspace or Microsoft 365.
  2. If the status is Ready to connect, press Connect Google Workspace or Connect Microsoft 365.
  3. Sign in at the provider and approve send-only access for the mailbox you choose.
  4. You return to Mailbox & Chase Email. A success message names the connected address and selects it for reminder email.
  5. Press Send safe test to confirm the grant can send.

If the status is Not configured, this installation does not yet have that provider’s OAuth app credentials. Ask PayBlah support — you cannot finish OAuth from the tenant screen until the platform administrator adds them. SMTP remains available.

4. Or connect SMTP

  1. On Mailbox & Chase Email, open Your mailbox (SMTP).
  2. Enter Host, Port, Encryption (STARTTLS (587), SSL (465), or None), Username, Password, From name, From email, and Reply-to.
  3. Press Save mailbox. The product tells you reminders stay held until a safe test succeeds. The password is encrypted and is never shown again; leave the field blank later to keep the saved password.
  4. Enter a Test send to address and press Send test.
  5. A successful test is required before SMTP goes live. Changing any credential clears verification.

On Connections, custom SMTP help is offered as a $49 assistance support CTA. That is optional help, not a required fee to send.

Expected result

  • Mailbox & Chase Email shows Sending through Google Workspace, Sending through Microsoft 365, or Sending from your tested SMTP mailbox, with the verified address.
  • Queued chase email can drain through that mailbox as your business. Replies go to the configured business address.
  • Activity records sent, held, failed, or bounced rows. Open tracking is not recorded.
  • Failed sends can raise A message could not send if that notification is on (it is always on).

If mail is held or a test fails

  • No mailbox / leftover “shared” method — there is no shared-domain fallback. The send is held. Connect and verify a mailbox.
  • SMTP not live — save, then pass Send test. Until then the hold is treated as mailbox-not-ready.
  • OAuth missing — reconnect, or wait until the installation shows Ready to connect.
  • Disconnect — confirm Disconnect this mailbox? Reminder email will be held until another business mailbox is connected and verified. After Disconnect, chase email holds again.
  • Failing since… — the page shows the error. Fix credentials and re-test. PayBlah will not pretend sends are working.
  • Look in Activity for a held reason. Some mailbox codes appear as a raw Held — mailer:… label.

Chase wording

The same Mailbox page lists the Chase template library. Press Edit to change subject and body. Firm and Final still need a person to approve the send. Free-type wording that names court or enforcement needs an extra logged confirmation. Never use the word “aggressive”.

What this will not do

  • It will not send from a PayBlah shared domain, and there is nothing to verify on a platform mailbox — that option is not a product path.
  • It will not offer a Settings control for a custom sending domain or DKIM. Those are not on Email sending.
  • It will not send as a third-party collector. Messages go out as your business.
  • It will not turn on text messages. SMS is separately gated and is not launched for customer send globally.
