Take numbers out of Reports with the single Export CSV control in the top bar. That is the whole one-off export. Recurring email is a different, live path: Schedule Reports.
Before you start
- Sign in to the workspace.
- Decide whether you need a one-off spreadsheet (CSV) or a recurring email (Scheduled Reports).
- Know that CSV amount columns are minor units (cents or pence), not formatted money. 8420 is 84.20 in a two-decimal currency.
Download the CSV
- Open Reports.
- Choose This month, 3 months, 6 months, or 12 months. That pill changes the recorded and attributed summary lines. Aging and the customer list stay the book right now.
- Click Export CSV in the top bar — not on a panel. There is no per-block export.
- Save the file. The name is
payblah-report-YYYY-MM-DD.csv. - Open it in a spreadsheet. Treat the amount columns as whole minor units. Customer names are written in a spreadsheet-safe form.
What the file contains
Three sections only:
- Summary — Outstanding now; Overdue now; Overdue payments recorded; Paid after reminder or PayBlah link. The last two follow the selected period. Outstanding and overdue are right now. Paid after reminder or PayBlah link is the attributed subset, not causation.
- Aging bands — Current, 30 days, 60 days, 60+ days, each with invoice count and minor units.
- Customers — the full open-balance list (not just the eight on screen): Customer, open invoices, oldest overdue days, outstanding minor units, average days to pay.
The CSV does not include Collection Activity, Payment Trend month-by-month bars, Needs Attention, or Text usage. Those stay on the screen (and, for some of them, in a scheduled digest).
There is no PDF export
Reports has no PDF button and no PDF download. If you need a paper copy of what you see, use the browser print dialog. Do not wait for a per-panel PDF — it is not a live control.
Email a report (this already sends)
Scheduled Reports is live. It replaced the old mockup toggle “Email this monthly.”
- On Reports, click Schedule Reports, or open Settings → Scheduled Reports.
- If you are Owner or Admin, click Add Scheduled Report.
- Name the schedule, choose Weekly or Monthly, set the day and time, and keep the timezone shown from Localisation.
- Tick the reports to include: Aged debt, Collection activity, Recovery performance, SMS usage.
- Tick live team members only under Send to. Membership is checked again immediately before every send. You cannot type an external address.
- Press Create Schedule. The next send appears on the card. Use Pause, Resume, or Archive later. Saving recalculates the next send from now — missed runs are not back-sent as a stack.
A weekly digest covers the previous complete week. A monthly digest covers the previous calendar month. Recovery performance in the email repeats the same honest pair: payments recorded vs paid after reminders / link, plus the sentence that the second figure is attribution, not causation.
Standard teammates see “Ask an Owner or Admin to manage schedules.” If the workspace cannot save schedules yet, the pane says Scheduled Reports needs its database migration — ask whoever runs the account, not a customer-facing workaround.
Full book takeout
A Reports CSV is not a workspace backup. Owners and Admins who need customers, invoices, messages and related tables together use Settings → Import & export and download the ZIP. That is a different file from this report.
What you should see
A CSV download after one click. No PDF. After you create a schedule, the card shows Active or Paused and a next-send time. Recipients get a sign-in link labeled Open Secure Reports, not a PDF attachment.
If something looks wrong
- No PDF control — expected. Use CSV or browser print.
- No export on each panel — expected. One top-bar CSV only.
- Amounts look 100 times too large — you are reading minor units as major units.
- Activity or SMS missing from the CSV — expected. Include Collection activity or SMS usage on a schedule, or read the screen.
- Schedule create refused — Owner/Admin only, and the workspace must be allowed to save settings.
- Recipient missing from the list — they must be a live team member. Archived or invited-but-not-joined people cannot be ticked.
- A delivery shows Held, Email not configured, Failed, or Skipped — open Last Delivery by Recipient on the schedule card. Held often means the email safety policy; Skipped often means the person was no longer a live member at send time.
What this does not do
- It does not export a PDF.
- It does not email people who are not live members of the workspace.
- It does not send reminders to customers.
- It does not prove PayBlah caused a payment listed as paid after a reminder or link.
