Walk through getting started

Walk the seven-step setup: Your business, Invoices, Email, Workflow, Select invoices, Review journey, then Start following up.

Plan: Completing setup and clicking Start following up requires an Admin. Standard members do not finish this wizard. Available during the 30-day Starter trial and on paid plans.

After you confirm email and sign in, PayBlah walks an Admin through seven live steps. Nothing customer-facing is queued until you finish the last step and click Start following up. Activation creates future email actions from today. Nothing is back-sent. You remain the sender; PayBlah is not a collector.

Who can do this

  • Only an Admin can save steps and activate. The product says Only an Admin can complete setup.
  • Open /onboarding (or jump from the dashboard checklist). Header control: Save and exit.

The seven steps

  1. Your business — heading Who should reminders come from? Enter legal or trading name, country, currency, timezone, accounts contact, and reply email. Click Continue. This step’s country list is Ireland, United Kingdom, and United States (Dublin, London, New York). Signup may offer more countries; do not expect Australia on this step until the product adds it.
  2. Invoices — heading Where are your invoices? Choose a source that already has at least one overdue invoice: Upload spreadsheet, Enter invoices manually, or Xero / QuickBooks Online / Sage if that provider is already connected on this installation. Unavailable cards stay disabled. Secondary links: Connect accounting, Upload a spreadsheet, Add an invoice, Explore the safe demo. Continue stays disabled until overdue rows exist.
  3. Email — heading How should PayBlah send reminders? Choose a live sender you own: Google Workspace, Microsoft 365, or Your tested mailbox (SMTP you connected and tested). There is no PayBlah shared-domain mailbox. Click Continue.
  4. Workflow — heading How should PayBlah follow up? Pick a published Workflow and optionally Preview journey. Click Continue.
  5. Select invoices — heading Choose which invoices start first. Tick overdue open invoices up to your plan’s active spaces. Unselected invoices stay Waiting to Start and use no space. Click Continue.
  6. Review journey — heading {Workflow} — here’s what happens. Paid and disputed invoices stop automatically. Firm and Final steps show Requires approval. Click I’ve reviewed the journey.
  7. Activate — heading Ready to start? Read invoices, sending, Workflow, and first action (“From today; nothing is back-sent”). Click Start following up.

Save and exit

At any time click Save and exit in the header. Completed steps stay saved. Unsaved fields on the open step are not written. Flash: Setup saved. Continue from the same step whenever you are ready. You land on the dashboard and can resume from that step. Leaving early does not send mail.

What you should see

Success heading: Your first Workflow is live. Actions: Go to dashboard and Review active invoices. Optional note: more invoices are safely Waiting to Start. Messages go out in your business name. You remain in control.

If something goes wrong

  • Another tab changed setup: Setup was updated elsewhere. Refresh before continuing.
  • Activation failed: Activation could not be completed. Nothing was sent… Fix the listed problem and try again.
  • Need a safe look around first? On step 2 use Explore the safe demo. That isolated page cannot send. It is not the signup Demo book.

Where things live after setup

  • Customers — customer list (not “Debtors”).
  • Workflows — sequences and steps (not a nav item named “Reminders”).
  • Activity — approvals, replies, and items that need a person.
  • Payment Plans — shown in nav when that feature is on for the workspace.

What this does not do

  • Early steps do not email customers.
  • Start following up does not bypass Never chase, disputes, promises, or a manual pause.
  • It does not enrol invoices that are only due today or in the future.
  • It does not use a PayBlah shared sender. There is no “Here’s What You’re Owed” step in this wizard.
