Open Settings → Connections (workspace setup). The page has two jobs: channel readiness (email, text messages, phone calls, customer payments, reminder letters) and Accounting software (how invoices enter the book).
PayBlah never writes back to your books. Customer payments go to your business; PayBlah does not hold invoice funds. Your PayBlah subscription is a different Stripe relationship — use Your PayBlah plan and invoices → on Connections, not the customer-payments card.
Honest status of invoice sources
- Live: CSV or XLSX import (Invoices → Import). Legacy .xls is rejected. Google Sheets is not an importer.
- Live UI, not production OAuth: Xero, QuickBooks, and Sage Accounting each show Connect / Reconnect. When PayBlah has no app registered with that vendor, the card says the button connects to sample data rather than your books. Connected fixture rows can show sandbox — fixture data.
- Not launched: FreeAgent, MYOB, FreshBooks, Zoho, Wave, NetSuite, Dynamics 365, Sage 50, Sage Intacct, Sage 200. No Connect procedure for those names.
Connect an accounting package (Admin)
- Sign in as an Admin → Settings → Connections.
- Under Accounting software, find Xero, QuickBooks, or Sage Accounting.
- Read the helper line. If it says there is no app registered yet, you are about to connect sample data, not your live organisation.
- Click Connect (or Reconnect if that package is already listed).
- Unconfigured / sandbox: you stay in PayBlah. The callback uses fixture data. You are not sent to a real Xero, Intuit, or Sage authorize screen.
- When a connection card exists, confirm the status badge, any sandbox — fixture data badge, scope (overdue only, or paid and unpaid), the interval, and last synced / never synced.
- If PayBlah is not sure two customers are the same, answer Same customer or Different — add separately before those invoices import. Visible language is Customers, even if a legacy link still says look at them.
A published App Hub card is a deep link to this screen. It is not proof that production OAuth is live.
What you can do today without vendor OAuth
- Import .csv or .xlsx (not .xls). Company name is optional on import. Currency is the workspace currency.
- Add invoices and customers manually (Customers, not Debtors).
- Review Workflows. Firm and Final still need approval. Import can enrol chasing when mode is automatic; it does not send a message by itself.
Channel cards on the same page (not books)
- Email → Manage mailbox. Reminders hold until a tenant mailbox is ready. There is no PayBlah shared-domain sender.
- Text messages / Phone calls → Manage provider. The setup UI exists; live send stays gated (plan, territory, registration, tenant switch, platform default).
- Customer payments → Manage Stripe (your Stripe; funds stay with you).
- Reminder letters → Set up letters / Turn letters off. Growth+ and territory-gated. PayBlah generates PDFs; your team downloads or prints and marks them sent. PayBlah does not post letters.
Expected result
CSV/XLSX invoices appear on Invoices and Customers. A sandbox Connect creates a fixture connection you can Sync now (when the row allows it) or Disconnect. Your live Xero / QuickBooks / Sage organisation is not linked until a PayBlah vendor app exists and this installation has credentials.
If something goes wrong
- Non-Admin Connect → “Only an Admin can connect accounting software.”
- Unknown slug → “PayBlah does not connect to that.”
- Needs reconnecting / no credentials — use Reconnect on the package list. Sync now needs a grant the row can use.
- Repeated failures — chasing continues on invoices already imported; nothing new arrives until you reconnect.
