Mark paid or record a settlement

On invoice detail, use Mark Paid for full payment or Record Settlement when you agree a different amount or write-off.

When money lands — or you agree to close a balance — update the invoice so chasing stops cleanly.

Mark Paid

  1. Open the invoice.
  2. Click Mark Paid.
  3. Enter Amount and Date paid.
  4. Confirm / record payment.

After save, the invoice should leave active chasing. Sync from accounting can also flip paid when the source system shows paid — still record in PayBlah if you need an immediate stop before the next sync.

Record Settlement

  1. Click Record Settlement.
  2. Enter agreed amount, optional written-off amount, who agreed, and reason.
  3. Save the settlement.

Use settlement when the customer pays less than face value with your approval, or when you write off a remainder. Chasing should not continue on a fully settled invoice.

What this does not do

  • These actions are PayBlah register updates — they may not push a full accounting credit note unless your integration says otherwise. Keep Xero/QBO/Sage aligned if that is your system of record.
  • They do not send a thank-you email unless a template step is configured for that event.
  • They do not replace bank reconciliation.
