Add private notes

Write a private note on an invoice or a customer and press Enter to save. Notes stay on your side and are never sent to the customer.

Plan: Available on every plan including trial (Starter). Any signed-in member who can open the invoice or customer can add or remove notes.

Notes hold context your team needs — who signs AP, a delivery issue, a credit discussion — without putting that text in front of the customer. The heading is always Private notes — never sent to the customer.

Before you start

  • Notes never appear on the portal or in workflow templates.
  • There is no Save button. The placeholder says Write a private note — press Enter to save.

Note on an invoice

  1. Open the invoice from Invoices.
  2. Scroll to Private notes — never sent to the customer.
  3. Type in the field and press Enter.
  4. To drop a note, click Remove on that line.

Empty state: No notes on this invoice yet. Anyone who can open the invoice can read the note. It does not go out with a reminder.

Note on a customer

  1. Open Customers → the company.
  2. Open the Notes tab (the same block also appears on Overview).
  3. Type and press Enter. Use Remove to archive a note.

Expected result

The line appears with your name and the time. It stays internal. Chasing does not change because you wrote a note.

If something looks wrong

  • Nothing saved — press Enter, not Tab-away. The field is not a blur-save.
  • You needed chasing to stop — a note is not enough. Use Record a promise (Pro+), Raise a dispute, Pause chasing, or ask an Admin for Never chase.

What this does not do

  • Notes do not change invoice status.
  • They are not a substitute for Record a promise or Raise a dispute.
  • They are not customer-facing content on the payment link.
