What syncs from accounting

A connected package (including sandbox) reads nine invoice fields only. Production OAuth is not launched. For your own book, import CSV or XLSX — currency is not a file field.

Plan / status: Field scope applies to Xero, QuickBooks and Sage Accounting adapters — including sandbox fixtures. Production vendor OAuth is not launched. File import is live on every plan including trial.

PayBlah is reminder automation, not a copy of your ledger. Accounting connections are read-only. They never change Xero, QuickBooks, or Sage.

The Connections intro states the pull set in product words: company, contact name, email, phone, invoice number, amount, due date and paid state. If reminder letters are on, a postal address is read as one block. If letters are off, no address is requested.

The nine fields (accounting pull)

That list is the D-122 invoice set. It is not the file-import map. File import has thirteen mappable fields. Currency is not an import field — amounts use the workspace currency. Company name is optional on import (blank uses the contact name). Do not mix those rules with signup’s required company name.

Sandbox versus vendor poll

If you clicked Connect while no PayBlah app is registered, the row is a sandbox / sample-data fixture. Sync then maps fixture JSON through the real Xero, QuickBooks, or Sage field mapper. You will see imported / updated / unchanged / waiting on you / not chased / could not be read, plus new customers and matched existing. That is not a poll of your live organisation.

Production scheduled poll (the interval printed on the card, often every 60 minutes) is only meaningful when a real grant exists. An App Hub “published” deep link is not that grant.

What you see after a fixture or (later) live sync

  • Customers (visible name; not Debtors) and customer contacts
  • Invoices with amount, age, status, next action
  • Connection stats from the last batch
  • Possible Admin questions: Same customer / Different — add separately

Eligible invoices can enrol chasing when chasing mode is automatic (the default), the customer is not never-chase, the amount clears the floor, and capacity exists. Sync or import does not send a message. Firm and Final still need approval.

File import is a different path

Re-importing a spreadsheet does not update existing invoice numbers. Duplicates are skipped. Paid or zero rows are filtered as nothing owed. A negative amount fails as a credit note. There is no Google Sheets importer.

What does not sync

  • Full general ledger, bank feeds, inventory, or payroll
  • Arbitrary custom fields beyond the nine items
  • FreeAgent, MYOB, FreshBooks, Zoho, Wave, NetSuite, Dynamics, Sage 50 / Intacct / 200
  • Automatic customer emails, SMS, or posted letters
  • Stripe (customer payments or your PayBlah bill) — not an accounting package

Expected result

The register shows only the AR fields above. Fixture names stay labelled sandbox. Your live books stay untouched.

If something goes wrong

  • Waiting on you — answer the duplicate question; nothing imports for that customer until you do.
  • Could not be read / not chased — open the connection card issues; do not assume a second sync will invent missing emails.
  • Needs reconnecting — use Reconnect. Sync now is withheld without a usable grant.
