Invoices is the operational register. Each Active row is one bill with age, a status badge, and the next planned action.
Before you start
- Nav label is Invoices. Customers and Workflows sit beside it — not Debtors or Reminders.
- File import accepts .csv or .xlsx. Legacy .xls is rejected. Use Import → Import Invoices From A File to open the importer (Admin posts the file).
Open, search, and filter
- Click Invoices.
- Choose a tab: Active, Outside plan age, or Archived.
- On Active, search Search customer or reference.
- Open Filters. Status checkboxes are the badge labels the table already prints for the Active set — not a second list of invented types. Also set Amount from / to.
- Click Apply. Use Clear filters to reset. A chip removes one filter.
- Scan columns: Customer (with reference), Amount, Age, Status, Next action.
- Click the row to open detail, or the tick icon to jump to Mark paid on that invoice.
A Synced {ago} note may appear when a connection exists. Active and Outside plan age each load at most 100 rows.
Add an invoice
- Click Add invoice (sentence case on this page; Dashboard says Add Invoice).
- Pick an existing customer or New customer…, complete the fields, and submit Add.
Bulk actions on Active
- Tick one or more rows, or use the header checkbox for every visible row.
- In the selection bar choose Pause chasing, Resume chasing, Mark paid, or — if you are an Admin — Archive.
- Click Clear to drop the selection without changing invoices.
Mark paid in bulk records each selected invoice paid in full today (all-or-nothing: if one row cannot be paid, none are). Pause only applies to invoices that are chasing; resume applies to paused or part-paid. Disputed or already-settled rows are refused.
Capacity meter
The Active footer shows N of M active invoice spaces in use and, when relevant, Waiting to Start. Use Manage capacity to open upgrade. Waiting invoices do not occupy a space. Unlimited plans say so instead of a fraction.
Outside plan age and Archived
- Outside plan age — invoices at or past your tenant cutoff (default 90 days overdue). They are outside active management, use no active space, and are not chased automatically. This is not the dashboard 60+ band.
- Archived — heading Archived invoices. Hidden from active chasing; payments and history kept. Admins click Restore and then review the schedule. Empty: No archived invoices.
Expected result
Filters change which Active rows you see. Bulk actions write those outcomes and flash a result. Opening the list does not send a message.
If something looks wrong
- Fewer rows than you expected — you are over the 100-row tab cap, or a filter/chip is still on.
- No Archive button — you are not an Admin.
- A .xls file will not import — use .csv or .xlsx.
What this does not do
- Filtering does not change accounting source data.
- Outside plan age is not a billing upgrade for “chase depth.” It is the age cutoff.
- Capacity is counted in active invoices, not overdue balance.
