5 of 10 in Customers and invoices

Plan: Available on every plan including trial (Starter). Restore customer is Admin only.

Customers is the working list of B2B companies that currently owe you. It is not a full address book. A company with no open invoice is omitted from Active until a bill lands.

Before you start

  • You can open Customers as a signed-in member.
  • Company is required and must be the business that owes you — not the contact’s personal name. PayBlah is for B2B invoices only.
  • On this list the header button is Add customer. The slide-down form submit is Add Customer. On Dashboard the twin button is also Add Customer.

Browse Active customers

  1. Click Customers in the left nav.
  2. Stay on the Active tab (the other tab is Archived).
  3. Type in Search company or contact, or open Filters.
  4. Set Status (All statuses, Awaiting approval, Chasing, Disputed, Promised, Paused, Part paid · paused, Not chasing, Never chase), Owing at least, and Last contact (Any time, Over 7 days ago, Over 30 days ago).
  5. Click Apply filters. Remove one filter with the chip ✕.
  6. Scan columns: Customer, Total owed, Open, Oldest, Status, Last contact.
  7. Click a company to open the customer record.

The footer is the whole book, not just the filtered rows: N customer(s) owe {amount} across N open invoice(s). Empty Active reads No customers owe you anything right now. or No customer matches these filters.

Add a customer by hand

  1. On Customers, click Add customer.
  2. Complete Company (required), First name, Last name, and optional Email and Phone.
  3. Click Add Customer.
  4. If you see You may already have this customer., open the existing row or click Add Anyway.

A new company with no open invoice opens on its detail page with: They will appear on the customers list once they have an open invoice. Attach an invoice (manually or by import) before you expect them on Active.

Archived customers

  1. Open the Archived tab. The heading is Archived customers.
  2. Read the help line: removed from active chasing, with invoices, contacts and history preserved.
  3. If you are an Admin, click Restore customer and confirm. Review chasing immediately afterwards.

Empty Archived reads No archived customers. Standard members can see the tab; they do not get Restore.

Expected result

Active shows companies that still have open invoices. Status chips match the invoices on that customer (or a standalone Never chase). Nothing is messaged by opening the list.

If something looks wrong

  • You just added a company and cannot find them on Active — they have no open invoice yet. Open them from the success screen, or add an invoice first.
  • Not added — company must be the business that owes you… — use the trading name in Company and the person in first/last name.
  • A restore is missing — only an Admin sees Restore customer.

What this does not do

  • Opening Customers does not send reminders.
  • Add customer does not create the company inside Xero, QuickBooks, or Sage.
  • Filters do not delete or archive records.
