Use a debtor record

Open a debtor to manage contacts, Never chase, promises, messages, archive, and per-invoice history in one place.

Debtor detail is the customer hub. Tabs typically include Overview, Invoices, Communications, Messages, and Notes.

Orient yourself

  1. Open Debtors → select a company.
  2. On Overview, check open balance, contacts, and the Never chase toggle.
  3. Open Invoices for that debtor’s bills and jump into any invoice.
  4. Use Communications / Messages to review what has been sent or received.
  5. Use Notes for internal context that stays on your side.

Header actions

  • Edit / Save Contact — update company or people; add contacts with email and channel preferences.
  • Record A Promise — capture a payment promise tied to an invoice.
  • Message — send an ad-hoc message when you need a one-off (subject to product rules).
  • Archive — remove the debtor from active lists when they should not appear day to day.

After saving contact changes, later reminders use the updated email. After Archive, the debtor should leave normal active working sets (restore paths depend on product archive behaviour).

What this does not do

  • Never chase and archive are not substitutes for legal advice.
  • Notes and internal fields are not automatically dumped into templates unless a merge field exists for that purpose — private notes stay private.
  • PayBlah still sends as you, not as a third-party collector.
