Understand the Reports page

Reports shows what was paid, what PayBlah can honestly attribute, and what still needs a person. Paid after reminders is attribution, not a claim that PayBlah caused the payment.

Plan: Reports and Export CSV are on every plan, including trial. Any signed-in teammate can open them. Creating or changing scheduled emails is Owner or Admin only.

Open Reports when you want a calm read of the book: what is outstanding, what was recorded as paid, what PayBlah can attribute, and which queues still need a person. PayBlah is reminder software for your B2B invoices. You remain the creditor. It does not hold customer funds and it does not collect as a third party.

Before you start

  • Sign in to the workspace whose book you want to see.
  • Figures use the home currency from Settings → Localisation. Other currencies are not added into the same total.
  • Ended-trial and other read-only workspaces can still open Reports and download the CSV. Saving a schedule needs a workspace that can write settings.

Open the page

  1. In the left nav, open Reports.
  2. Read the line under COLLECTIONS PERFORMANCE: “Know What Was Paid, What PayBlah Influenced, and What Needs Action.” The supporting sentence is the honesty rule: payment totals include everything recorded; recovery attribution is the narrower subset paid after a reminder or through a PayBlah link.
  3. Choose a period pill: This month, 3 months, 6 months, or 12 months.
  4. Read the five KPI tiles, then the six panels.
  5. Use the top-bar actions only if you need them: Schedule Reports (live email) or Export CSV (one file for the page).

What the period pills change

The pills change Payments recorded, Paid after reminders, PAYMENT TREND, and COLLECTION ACTIVITY.

They do not rewind Outstanding now, Overdue now, DEBT AGING, NEEDS ATTENTION, or TOP CUSTOMERS. Those are the book right now.

This month totals use this calendar month so far. The Payment Trend chart still draws six monthly columns so you can see recent context next to that month-to-date total.

The five KPI tiles

  • Outstanding now — open home-currency invoices that are still inside your age cutoff. Opens Invoices.
  • Overdue now — the overdue part of that same snapshot. Excludes invoices not yet due.
  • Payments recorded — overdue payments in the selected period, from any source (sync, mark paid, webhook, or a PayBlah link). On-time payments stay out.
  • Paid after reminders — the attributed subset of those overdue payments. Either the customer paid through a PayBlah payment link, or the money landed within 14 days of a reminder that was sent or delivered. This is not causation.
  • Average time to pay — average days from issue date to paid date across paid invoice history. A dash means there is not enough history.

A tip on Reports may say “Collected after reminders” for the same narrower attributed amount. On the page itself, use the live labels Payments recorded and Paid after reminders. Do not treat “collected” as the only word, and do not say PayBlah recovered the money unless you can prove it.

The six panels

  • PAYMENT TREND — “Recorded Payments vs. Attributed Recovery.” Two bars per month: recorded, and after reminders / link.
  • DEBT AGING — “Where the outstanding book sits.” Live bands are Current, 30 days, 60 days, and 60+ days. The caption still says “30 / 60 / 90 accountant view”; there is no separate 90-day total. See the aging guide.
  • COLLECTION ACTIVITY — reminders that actually left, emails vs texts, and replies in the period. See the activity guide.
  • NEEDS ATTENTION — “Work queues that can change the outcome.” Current state, not affected by the period. Four rows: Disputes to resolve (chasing is stopped), Promises to monitor, Paused or part paid, and Reminders awaiting approval (review before anything sends — Firm and Final always wait). Each row opens Invoices or Activity.
  • TOP CUSTOMERS — “Who is holding the money.” Open balance, biggest first. The screen lists up to eight customers (Customer, Open, Oldest, Usually pays, Outstanding). The CSV has the full list. View all customers opens the customer list. Settled balances drop off.
  • TEXT USAGE — your plan allowance counted in billable SMS segments (used, left, renews when known). Manage SMS allowance opens Upgrade. Settings → SMS & sender ID can still say SMS is not available for the account; email following up is unaffected. A zero here is normal when texts are not in use.

Outstanding now applies the same Stop chasing after age cutoff as aging (default 90 days from the due date, under Settings → Reminder defaults). Top Customers does not apply that cutoff, so its “total outstanding” can be higher than Outstanding now.

Email and export

Schedule Reports opens Settings → Scheduled Reports. That pane is live. An Owner or Admin can email named live team members a weekly or monthly digest of Aged debt, Collection activity, Recovery performance, and/or SMS usage. The digest is not the same as the on-screen Needs Attention or Top Customers lists, and it is not a PDF.

Export CSV is one page-level file: summary, aging bands, and customers. There is no PDF export and no per-panel CSV. See the export guide.

If App Hub is switched on and Advanced Analytics is installed, that app is a read-only extra view. It does not send mail. Most workspaces will not see it.

What you should see

A signed-in Reports page with the honesty sentence, four period pills, five KPIs, six panels, and two top-bar actions: Schedule Reports and Export CSV. Empty books show zeros and “No outstanding customer balances.”

If something looks wrong

  • Wrong period — check which pill is active. Aging and Needs Attention ignore it on purpose.
  • Wrong currency mix — only the Localisation home currency is totalled.
  • A very old invoice missing from Outstanding now — check Stop chasing after. It can still appear under Top Customers.
  • Paid after reminders smaller than Payments recorded — expected. Manual mark-paid and unchased invoices stay in recorded and stay out of the attributed headline.
  • No PDF button — there is none. Use Export CSV, or print from the browser if you need a paper copy.
  • Cannot create a schedule — you need Owner or Admin, a workspace that can save settings, and the Scheduled Reports pane (not Notifications).

What this does not do

  • It does not prove PayBlah caused a payment.
  • It does not send reminders, approve Firm or Final wording, or hold customer funds.
  • It is not a full accounting pack, a multi-entity roll-up, or a peer benchmark.
