Set up a payment plan

Payment Plans record an instalment agreement between you and your customer. Asking from the portal does not pause chasing and agrees nothing until you say yes.

Plan: Starter and Growth seed 0 instalments (feature closed). Pro seeds 3. Business seeds 12. Enterprise can be unlimited. The tenant setting Maximum Instalments Offered can only go lower. Existing plans stay readable after a downgrade. Portal proposals use Let Customers Propose a Plan — default off.

The nav label is Payment Plans. The page heading is Payment plans. The URL is /arrangements. It is not a loan, not interest, and not debt collection — it is a schedule you and your customer agree. PayBlah only records it and follows it.

Before you start

  • Nav Payment Plans appears when arrangements are available on the live plan.
  • From an invoice: Offer Payment Plan or View Payment Plan / Open Plan.
  • Mixed-currency invoices on one portal link cannot propose a plan (fail closed).
  • This is not how you pay PayBlah.

Staff: create a plan

  1. Go to Payment Plans.
  2. Read the intro: while a plan runs, follow-up uses the agreed schedule instead of the standard Workflow. The page states your instalment cap.
  3. Press New plan (it currently starts from a customer).
  4. Build the schedule on invoices that still have balance. Instalments always add up to the outstanding total — no fees added.

Tabs: In progress (live or waiting) and Finished (completed, cancelled, declined, defaulted). Empty live copy: open a customer who owes more than they can pay this month and offer a schedule. Origin lines: You offered it or They asked for it. State badges include Waiting, Running, Completed, Stopped, Cancelled, Declined.

Customer portal: ask (not a home button)

  1. On Tell us when you'll pay, if proposals are on, they see Ask to Pay in Instalments or View Your Plan.
  2. The plan page heading is Need to spread this out? They pick How many payments would work?, When could the first one be?, optional note, then Ask {you}.
  3. After POST they see Thanks — that's with {you}: “Nothing is agreed until they say yes, and you haven't committed to anything by asking.”
  4. While you review: Your request is with {you} (state proposed).
  5. When active: Your payment plan and the schedule. They can still see how to pay.

Asking does not pause chasing. Do not tell the customer that submitting the form stops reminders. Do not claim “Back to promise” — if the back control is present it goes home. If proposals are off and they have no live plan, that portal page stays closed.

While a plan runs

  • Workflow steps for those invoices give way to the instalment schedule.
  • Short or missed instalments appear on Activity → Promises as Payment Arrangement cards with Instalment short / Instalment missed, then Open Payment Arrangement and Mark as Reviewed.
  • PayBlah will not silently write off an underpaid instalment.

If something goes wrong

  • Nav missing — arrangements are not available on this plan (0 instalments).
  • Portal ask missing — Let Customers Propose a Plan is off (the default), or mixed currency, or no live plan and proposals disabled.
  • Entitlement refusal is never explained to the customer as a billing upsell.
