The /automations URL redirects to Workflows → Smart actions (/reminders?tab=automations). Time triggers run on the scheduler. Event triggers run on the same stream as in-app notifications. Empty state: “No smart actions yet.”
Who can change rules
- Admin — create, edit, disable, archive.
- Standard — “You can view these. Only an Admin can create or change them.”
Create a smart action
- Open Workflows and choose the Smart actions tab.
- In New smart action, name it and press Enter. It starts as “When an invoice is [N] days overdue → notify the account.” Fields save when you leave them.
- Change the trigger, conditions, and action on the row.
Triggers available
- Time — Invoice Is Days Overdue; Invoice Is Days Until Due.
- Event — Payment Received; Invoice Paid In Full; Promise Made; Promise Broken; Dispute Opened; Reply Received.
Actions available
- Pause Chasing
- Resume Chasing
- Move To Sequence — that is the picker label today; it moves the invoice onto another Workflow
- Notify User
- Add Internal Note
Conflicting pairs (pause vs resume on the same stream) are listed on the page. Tag Customer is not available yet. Actions that move money or send to a customer are not offered here.
Expected result
Enabled rules run when their trigger fires and conditions match. Disabled rules stay listed but do not fire.
What still wins after save
- Paid in full, open dispute, active promise, Never chase, kill switch, and untriaged-reply send hold still refuse chase sends.
- Firm and Final still wait in Activity → Approvals. A smart action cannot auto-threaten.
- An open portal stop request is not a send interlock. Accept it under Stop Requests if you want a mute.
What this will not do
- Smart actions never send legal-threat or enforcement wording automatically.
- They do not collect money or speak as a third-party agency.
- They do not replace Protections or Reminder defaults.
