Custom Record Fields app

Add typed extra fields to customers and invoices. Owner or Admin manage definitions. Values can be saved on the record. There is no silent delete.

Custom Record Fields adds structured details to customers and invoices without changing PayBlah’s core records. Fields stay inside this workspace.

Prerequisites

  • An Admin has pressed Install Custom Record Fields and the install is Active.
  • Owner or Admin for Field Setup. Value editing needs the values-write grant.

Create a field (Owner / Admin)

  1. Open the app or go to /apps/custom-record-fields. Choose Customer Fields or Invoice Fields.
  2. Open Add Custom Field.
  3. Set Record Type (Customer or Invoice) and Field Type: Text, Number, Date, Yes / No, or Select List.
  4. Enter Label and Field Key (lowercase, for example account_manager). The key cannot be changed later.
  5. For a select list, enter 2–50 unique options, one per line. Optionally tick Required when a value is edited.
  6. Press Create Field.

Fill a value

  1. Under Customer Details or Invoice Details, choose a record and press Open Record.
  2. Enter the value and press Save on that row.
  3. The same fields can appear on the customer or invoice page when the app is on.

Use Find Matching Records for an exact filter: Choose Field, then Find Records.

Archive or restore a definition

  1. Open the field and press Save Field Settings for label, order, required, or select options. Used select options cannot be removed until records stop using them.
  2. Press Archive Field. Values are retained and the field is hidden.
  3. Open Archived Fields and press Restore Field to bring it back.

There is no silent delete. Invalid stored definitions are hidden; stored values are not deleted.

Expected result

Authorised staff see extra fields on the chosen customer or invoice. Core invoice amounts and chasing behaviour do not change.

If you cannot save

  • Read-only on values — you lack the value-write grant.
  • No Field Setup — only Owner or Admin manage definitions.
  • Page not found — install is off or paused.

What this will not do

  • It does not add fields to any record type except customer and invoice.
  • It does not overwrite core PayBlah columns.
  • On remove: definitions and values are retained but become inaccessible. Reinstalling can restore access.
